Privacy Policy
Last updated: January 15, 2025
Solar1, Inc. (“Solar1,” “we,” “our,” or “us”) operates the Solar1 platform at solar1erp.com. This Privacy Policy explains how we collect, use, and protect information when you use our platform and services.
Information we collect
Account and profile information
When you create a Solar1 account, we collect your name, email address, company name, phone number, and billing information. For team members added to your account, we collect their name, email address, and role assignment.
Project and operational data
Solar1 stores all data you enter into the platform — project records, customer information, job cost data, permit applications, financial records, and employee data. This data is owned by your organization and is stored on Solar1 servers.
Usage data
We collect information about how you use Solar1 — pages viewed, features used, session duration, and error logs. This data is used to improve the platform and diagnose technical issues.
Device and browser information
We collect IP address, browser type, device type, and operating system information for security monitoring and compatibility purposes.
How we use your information
To provide and operate the platform
We use your information to operate Solar1, process your subscription, provide customer support, and deliver the features you use — job costing, permit tracking, invoicing, payroll, and all other platform functionality.
To communicate with you
We use your email address to send account notifications, billing receipts, product updates, and support responses. You may opt out of marketing communications at any time.
To improve the platform
Aggregate, anonymized usage data helps us identify which features are used, where users encounter friction, and what to build next. No individual user data is sold or shared for this purpose.
Security and fraud prevention
We use account and usage data to detect unauthorized access, prevent fraud, and enforce our Terms of Service.
Data sharing
We do not sell your data
Solar1 does not sell personal information or operational data to third parties, advertisers, or data brokers.
Service providers
We share data with service providers who operate infrastructure on our behalf — cloud hosting, payment processing, email delivery, and monitoring. These providers are contractually prohibited from using your data for any purpose other than providing the contracted service.
Integrations you authorize
When you connect Solar1 to a third-party tool — QuickBooks, Salesforce, DocuSign, or others — data flows to that tool based on your configuration and the integration's scope. You control which integrations are active and what data they can access.
Legal requirements
We may disclose information if required to do so by law, court order, or government authority, or to protect the rights and safety of Solar1, its users, or the public.
Data retention
Active accounts
All data in your Solar1 account is retained for as long as your account is active. Project records, financial data, and employee records are maintained in full.
Account cancellation
After account cancellation, we retain your data for 90 days to allow for reactivation or data export requests. After 90 days, data is permanently deleted from our systems. Backups are purged within 30 additional days.
Data export
You may request a full export of your Solar1 data at any time. Exports are delivered in standard formats (JSON, CSV) within 5 business days.
Security
Data encryption
All data transmitted to and from Solar1 is encrypted using TLS 1.3. Data at rest is encrypted using AES-256. Encryption keys are managed separately from the data they protect.
Access controls
Solar1 employees do not have access to customer data except when required to provide support, and only with explicit customer authorization. All internal access is logged and audited.
Infrastructure
Solar1 is hosted on SOC 2 Type II certified infrastructure. We perform annual penetration tests and continuous vulnerability scanning.
Your rights
Access and correction
You may access, review, and correct your personal information at any time through your Solar1 account settings or by contacting support.
Deletion
You may request deletion of your personal information. For organizational accounts, the account owner may request deletion of all data associated with the account.
Data portability
You may request an export of your data in a standard machine-readable format.
California residents (CCPA)
California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. Solar1 does not sell personal information. To exercise these rights, contact privacy@solar1erp.com.
Cookies
Essential cookies
Solar1 uses cookies required for the platform to function — authentication sessions, security tokens, and user preferences. These cannot be disabled without disabling platform functionality.
Analytics cookies
We use analytics cookies to understand how users navigate the platform. These cookies collect aggregate, anonymized data. You may opt out of analytics cookies through your account settings.
Changes to this policy
Updates
We may update this Privacy Policy as the platform and applicable laws evolve. Material changes will be communicated by email to account owners at least 30 days before they take effect. Continued use of Solar1 after that date constitutes acceptance of the updated policy.
